First: get consent
Florida requires the consent of everyone in a conversation before you record it, and several other states have similar all-party rules. Say it at the start: "Mind if I record this so I don't miss anything? I'll use it for my notes." If they say no, take notes by hand and use step 4 with your notes instead. This guide isn't legal advice; check the rules in your state.
Steps
- Record the conversation. On iPhone, open Voice Memos and tap record. On a Mac with ChatGPT Plus or higher, you can use ChatGPT's record mode in the desktop app instead, which transcribes and summarizes for you (not available in the EEA, UK or Switzerland; sessions cap at 4 hours).
- Get the transcript. In Voice Memos, tap the recording, then choose Copy Transcript. Transcripts work on iPhone 12 or later in English, Spanish and several other languages.
- Open ChatGPT or Claude. If you do this often, create a project called "Client calls" and put the prompt below in its instructions.
- Paste the prompt, then the transcript (or your handwritten notes).
- Check the summary against what you remember. Correct any number, date or name.
- Edit the follow-up email so it sounds like you, then send it from your own email.
- Copy the to-do list into whatever you use for tasks or your CRM.

WHAT THEY PROMISED: anything they said they'd send or decide. 4. FOLLOW-UP EMAIL: under 150 words, from me to them. Thank them, recap what they want in one sentence, confirm next step and date. Common mistakes
- Recording without asking. In Florida, recording a conversation without everyone's consent can be a crime.
- Sending the email without reading it. Transcripts mishear names and numbers.
- Pasting sensitive details (card numbers, health details, account logins) that came up on the call. Delete them from the transcript first.
- Letting the email promise things you didn't agree to.
- Waiting until tomorrow. The routine works because it happens right after the call.
